Linking your Fillable Forms to Recreation Management

This article will show you how to link a Fillable Form created in Process Automation and Digital Services to an session or facility in Recreation Management and what the Fillable Form looks like during the checkout process.

Process Automation and Digital Services is a paid feature. For more information, please contact Support or your Customer Success Manager.

Activities and Sessions

  1. Log in to Recreation Management

  2. Navigate to the Activities tab and then Activity List

  3. Locate your Session

  4. Edit or Create a New Session

  5. Navigate to the Prompts tab

  6. Use the Fillable Forms drop down menu to select the form for your session

    Note

    You may only select one form per Session.

  7. Select Required at Checkout if you want public users to be required to complete the form during the checkout process. Leave the box unchecked if you want public users to be able to skip the form during checkout. If skipped during checkout, public users will be able to complete forms later from their account dashboard or email notification.

    Note

    Internal staff users can always skip forms during the checkout process. Once checkout is complete, staff can email the incomplete forms to public users, or they can complete the forms on the public user’s behalf.

  8. Click the Save Session Button

  9. Navigate to the Catalog tab

  10. Register a person for the session

  11. The form will populate in the checkout workflow to be completed as part of registration

  12. The form can have multiple pages that user can page through using the Next button

  13. Select the Submit button to complete the form and submit to Process Automation and Digital Services

    Note

    The form is submitted at this point in the registration. It does not wait for the transaction to be completed.

    If you have more than one item in the cart with a form attached, the system will prompt you to fill out the form for the next item/user.

  14. If configured in step 7 OR you are a staff user, there will be an option to skip the form and complete it later by clicking the Skip form and continue button

  15. Complete the rest of the registration process as normal

Locations and Facilities

  1. Log in to Recreation Management

  2. Navigate to the Facilities tab and then Facility List

  3. Locate your Facility

  4. Edit or create a new facility

  5. Navigate to the Prompts tab

  6. Use the Fillable Forms drop down menu to select the form for your facility

  8. Click the Save Facility Button

  9. Navigate to the Catalog tab

  11. Make a reservation for the Facility

  12. During the checkout process the form will populate in the checkout workflow to be completed as part of the reservation
