Musco Lighting Integration

The Recreation Management Musco Lighting integration enables a facility’s Musco lights to be automatically turned on when a reservation starts, and off when a reservation ends. This article will show you how to configure a Musco Lighting Integration.

Features

  • The lighting schedule is created in Control Link based on reservations from Recreation Management

  • If a reservation in Recreation Management is adjusted, Control Link will update accordingly

  • If a reservation in Recreation Management is canceled or an associated transaction is voided, the lighting schedule in Recreation Management will be removed

  • A Time Fee Add-On is required for the integration to work (the fee can be $0 if there is no cost for the use of the lights)

  • Reservations will sync with Musco every 15 minutes of the hour (for example 1:15, 1:30, 1:45, 2:00)  

Important Note:

  • The Musco integration works and only applies to facility reservations, but not where facilities are reserved through league management or when reserving facilities through activity setups.

  • This is a paid integration and if you would like a quote please reach out to your customer success manager.

  • Lighting integration syncing with your lighting service requires a transaction. Therefore, saving a permit but not billing/performing a transaction will not send the lighting reservation to your lighting service.

  • Musco reservations will only display in Control-Link up to 30 days into the future

Prerequisites

  1. You must have purchased a Musco Control-Link System in order to take advantage of this integration.

  2. Musco will provide an Excel template (example below) which you must complete and submit to your CivicRec Implementation Consultant/Project Manager with the following information: musco excel template example

    • Musco Usercode

    • Musco Password

    • Musco Facility ID

    • Musco Field ID

    • List of locations and facility names requiring the integration (Recreation Management Facility List)

Create a Time Add-On Fee Instructions

  1. Navigate to the Configuration tab, then select Financial Settings, then select Fee Add-Onsconfiguration - financial - fee add ons

  2. Click + Create Addoncreate fee add on

  3. Configure Addon Settings addon settings

    • Addon Name: Create a name related to Musco Lighting Integration

      Note: If you choose to not charge for the add-on, we recommend naming it "Lighting Times" as it displays on the receipt next to the scheduled light times.

    • Addon Type: Select Time Add-On

    • Manually Specify Time: Start/end time of this addon is specified manually during the facility reservation checkout

      Note: Learn more about the Manually Specify Time option.

    • Applies After/Before Time: If specified, the addon will apply to all units of a reservation after/before the entered time

      Note: CivicRec will send the schedules to Musco but Musco settings such as sunset and offset times will determine how the schedule is completed in Control-Link Central.

      Note: Before and After timeframes are restrictions and provide limitations to a reservation. So, if the from time is set to 7 p.m. then the add-on will only apply until 7 p.m., even if the rental goes from 6 to 8 p.m.

    • Enable Lighting Integration: Ensure that you enable this option

    • Applies To: Choose for the add-on to apply to anyone who registers, non-residents only, or residents only

    • Default Amount: Set the default amount for the add-on

      • Note: You can choose to leave this as $0.00 if you do not wish to charge for the light add-on or if you wish to set the cost at an individual facility level.

      • Note: The fee is charged based on the facility's rate type. CivicRec will prorate the fee appropriately (i.e. If the rate type is hourly but the lighting schedule is only 30 minutes, it will only charge half the fee.)

    • Default GL Code: Select a GL Code

    • Refundable: Indicates that this addon is meant to be refunded, like a deposit

    • Non-Refundable: Indicates this addon cannot be refunded by a public user when public cancellations are configured for a facility

    • Include in Item Price: Will not show as a line item on receipts; will be part of the parent item's overall price

    • One Time Add On: If checked, users can only use this addon one time per checkout

    • Sell as User Credit: Select to allow sales as user credit

    • Instructor Applicable: Determines whether collected fees for this addon will include instructor fees if they use a percentage of registration fees

    • Auto-Billing Applicable: Determines whether this add-on will include in recurring auto-billing charges for memberships

    • Taxes: Select the applicable tax type

      • Price Includes Tax: Check to include the tax in the overall price

  4. Click Save New Addonsave new addon

Assign Facilities to the Add-On Instructions

  1. On the addon, navigate to the Facilities tab and click Assign Facilitiesassign facilities

  2. Select the applicable locations/facilities and click Add Selected Facilitiesadd selected facilities

  3. Expand the location that contains your facilities expand location

  4. Next to the facilities, view/edit the Addon Amountaddon amount

  5. Click Save Addonsave addon

Add the Musco Lighting Integration to a Facility

  1. The Implementation Consultant/Project Manager will enable the Lighting Integration and add it to the specified facilities

Make a Reservation

  1. Make a facility reservation that is associated with the Time Addon and the Lighting Integration

  2. Once a reservation is complete in CivicRec, navigate to Musco Control-Link Central, log in, and click on the My Schedules tab

    • Note: You should see the reservation appear on the :00, :15, :30, :45 of each hour (syncing of the two systems).

    • Example: If you completed the reservation at 3:03 p.m., it would not show up in Control-Link until after 3:15.
