Printing a Calendar View using Export

This article explains how to print the current calendar view of reservations from the Facility Calendar using the Export Current View options.

Important Notes:

  • This method will also work if you have created a feed for your calendar.

  • The calendar feed only updates once a day.

  • These images and steps are for an Outlook calendar. If you have a different calendar option, your steps might look a little different, but the process will be the same.

Instructions

  1. Log in to Recreation Management.

  2. Navigate to Facilities and select Calendar. Navigate to facilities and select calendar.

  3. Enable any filters you need to narrow the scope of your calendar view. The Calendar's Export dropdown menu allows the user to Export their Current View or Create a Feed.

    • Locations: Option to select any specific location within your Recreation Management System.

    • Programs: Option to filter any specific type of program for your calendar view.

    • Tags: Option to filter any specific tags for your calendar view.

    • Types: You can filter specific types of events such as activities, closures, or reservations. This helps you customize what you see in your calendar view.

  4. Use the Export dropdown menu and Select Export to Current View. Use the export dropdown menu to select export current view.

  5. A calendar file will be created, which you can then open in Outlook. By double-clicking the download, it will automatically open your email option.Downloaded example image.

    Note:

    The ICS file will reflect the date it was downloaded, such as Data Export 2023-10-04-1.ics

  6. Outlook will give you options as to whether you want to Open as New and create a separate calendar or Import the information into your main calendar. Pop-up menu will give you options to open or import the calendar.

  7. Once the calendar is open, click the File tabIn Outlook select the file tab.

  8. Click PrintClick print on the left side menu.

  9. Specify the Calendar Settings. Select the Setting options for your calendar.

    • Daily Style: In the daily calendar view, times are listed on the left side. Calendar item topics appear on the right, next to their scheduled times. The calendar will include as many pages as needed to show all selected dates.

    • Weekly Agenda Style: The calendar shows Monday through Sunday in columns. Each column has a day header, with items listed below it.

    • Weekly Calendar Style: Monday through Sunday is listed across the top with times listed down the left side. Events are filling in accordingly.

    • Monthly Style: A classic monthly calendar with days listed out for the whole month and events listed for each day.

    • Tri-fold Style: Opens in three different panels. The left side panel includes a day and times listed vertically. The middle panel includes a Daily Task List arranged by Due Date. The right side panel includes a weekly agenda-style calendar. This includes the necessary number of pages to include all the selected dates.

    • Calendar Details Style: The days are listed with numbered details for each event, meeting, or activity. The calendar will include as many pages as needed to show all selected dates.

  10. Click Print Click print button.
