Tax Deductible Report

This article will go over how to create and run a custom report to share with a resident for tax purposes.

Create the Report

  1. Log in to Recreation Management

  2. Navigate to the Reports tab

  4. Select a Transaction Detail Report

  5. Click the Filters menu

  6. Select the Activity Filters

  7. Filter down to Tax Deductible programs - This can be done by:

    • Having start and end dates Jan1, 20XX - Dec 31, 20XX

    • Selecting all of the program periods for the year

  8. Under Tags select Tax Deductible

    Note

    • This will require an item tag to be created and assigned to all of the programs that are tax deductible; it does not need to be visible internally or publicly. To learn how to create and bulk assign an item tag view the Create Item Tags Article.

  9. Click the Fields drop down menu

  10. Check these fields:

    • Transaction Fields: Row Count, Receipt #, Transaction Date/Time, Item Total

    • Activity Fields: Full Activity Name  

    • Participant Fields: Participant Full Name

  11. Add in the transaction dates

  12. Click the green refresh button

  13. Click the Save Icon Menu

    • Report Title: When saving this report, add the EIN or Tax ID number to the Report Title. This will ensure that the number is on the report for the person needing it.  

    • Who Can See It?: Select who can see the report. If the report is saved for All Staff then everyone can view and run this custom report.

    • Description: It is helpful to add instructions to Filter to the Family in the description as it will be necessary when running this report for a specific account.

    • Current Location: If this check box is also selected, then this custom report will be limited to all staff working at the location in which it was created.

  14. Click the Save button

Run the Report

Important Note

It is important that the report is filtered to the specific family/account needing the report so that it only includes their household transactions.

  1. Log in to Recreation Management

  2. Navigate to the Reports tab

  3. Search and select your report

  4. Open the Filters menu

  5. On the Transaction Filters tab use the Family field to filter which account to pull

  6. Click the Refresh button

  7. Click the Print Icon Button

  8. Use the Destination drop down menu to Save as PDF

  9. Click the Save button

  10. The PDF can be emailed to the resident or the account holder

    Note

    • Do not email the report through the Recreation Management system as it will require the user to have a staff account in order to open the report.
