Asset Documents serve as a way to store and organize supporting files directly related to a specific asset. This feature enables users to upload and associate various documents, including PDF files, images, manuals, permits, inspection reports, and more, with the asset they’re managing.

The functionality works similarly to attaching a file to an email. Users can drag and drop files or browse to upload them, and optionally include hyperlinks or additional notes. Once uploaded, the documents are stored in the system and remain accessible to users. This ensures that all relevant documentation is centralized and easily retrievable during inspections, maintenance planning, or audits.

Important Notes

  • There are no restrictions on the storage capacity for uploads; however, it is important to consider the download speed of large files while in the field. Be aware that proprietary files might not be available on some computers due to software constraints.

  • Unsupported file types include: ‘EXE’ (Executable), ‘COM’ (Command), ‘DLL’, ‘MSI’ (Microsoft Software Installer), ‘BAT’ (Batch), ‘CMD’ (Command), ‘SH’ (Shell), ‘PL’ (Perl), ‘VBS’ (Visual Basic Script), ‘PY’ (Python), ‘PHP’, ‘JS’, ‘TS’ (Transport Stream), ‘TSX’ (TypeScript XML), and ‘SQL

View an Asset’s Documents

  1. Sign in to your solution

  2. Search for an asset or open it from the map

  3. Once you have an asset record open, click the Documents tab:

Create a New Document

  2. On the Documents tab, click the New Document button:

  3. You can then drag-and-drop the file into the field or browse your system’s files to attach the document:

  4. Once uploaded, you can date the document and associate a user. The defaults are set to today’s date and the current user who is logged in:

    • You can additionally select:

      • Display: Only works with image file types and is for showing a thumbnail on the main properties tab. Only one image can be set to display at a time

      • Public: Indicates whether a document can be released outside of the organization

      • Group: Allows the attached image grouping tab when enabled
