Add a Parcel Violation

  1. Sign in to your site

  2. Navigate to Code Enforcement, expand Violations, and select Add Parcel Violation

  3. On the pop-up screen, enter at least one search criterion. Then, click Search

    • Records can be added to parcel records or assets. This includes roads, utility poles, hydrants, and bridges. Select which database you want to search:

      • Parcel System (buildings and suites)

      • Asset System (infrastructure)

    • Tax Parcel ID Generator automatically creates a tax ID for a parcel using the selected fields. The system builds the tax ID by combining these values according to your information

      • Map: Uses the parcel’s map number as part of the tax ID

      • Insert: Includes an additional inserted value or identifier, where applicable

      • Subdivision: Adds the subdivision name or code for the parce

      • Block: Uses the block number associated with the parcel

      • Lot: Includes the parcel’s lot number when generating the tax ID

      • Sublot: Adds the sublot or secondary lot number to the tax ID for the parcels that have one

      • Generate: Click this button to generate your parcel’s new tax ID

    • Tax Parcel ID (S-B-L): The parcel’s official tax identifier. Typically, it is structured by section-block-lot

    • Association (Owner or Last Known Occupant): The parcel’s associated individual or entity, such as the current owner or last known occupant

    • Location: The parcel’s physical address or general location information

    • Building ID: The unique building identifier tied to the parcel

    • Suite ID: The internal suite identifier within a building, where applicable

    • Building Name: The official or commonly used name of the building

    • Suite Name: A suite’s descriptive or labeled name inside a building

    • Contact: The listed parcel’s contact person or responsible party

    • Mailing: The mailing address associated with the parcel. This may differ from the physical location

    • Lot: The specific lot number within a parcel’s tax map or subdivision

    • Section: The numbered area on the tax map where the parcel is located

    • Tax Map: The map number used to find the parcel in the town or city’s tax record

    • Account: The account number associated with the parcel, property owner, or billing record

  4. Select the parcel and click Add Violation

  5. Fill out the Violation details

    • Violation Number (#): This field allows you to type in the violation number

    • Violation Type: Choose the type of violation record. For example, animal services, code enforcement, or public health

    • Violation Sub-Type: Choose an applicable sub-type that corresponds with the violation type you previously selected. Examples include animal bite, graffiti, or no running water

    • Violation Status: This field controls the process of the record. This includes options such as open, closed/resolved, or a friendly reminder

    • Assigned Inspector: Select an inspector from the list to assign to this record. This inspector does not always have to be the same one. It does not need to match the inspector assigned to an inspection record in the complaint's inspection tab. The assigned inspector will be notified using email. They will also get a notification on their dashboard. This field also controls the name and title that are printed on many forms, letters, and placards related to the record.

    • Title: Choose the title of the inspector. Examples include fire marshal, code enforcement inspector, and building inspector

    • Certified Mail Package/Receipt Number: Add the package/receipt number, if applicable

    • Officer Safety Issue: Note whether or not there is a safety issue for any officers

    • Violation Notes: Add notes for the violation record

    • Violation Date/Time: Enter the date and time of the violation

    • To Be Resolved by Date: Set a date for when the violation will need to be resolved

  6. Add Occupant or Owner Information for the violation

    • Name: The full name of the current occupant or responsible party

    • Address: The occupant’s physical or mailing address

    • Email: The occupant’s primary email address used for notifications or communication

    • Phone: The occupant’s contact phone number

  7. If needed, add General/Primary Contractor details

    • You have the option to copy the owner information from the previous steps if the owner is going to do the work. Otherwise, you can search for or add a new licensed contractor to the database.

  8. Click Save Violation

  9. Fill out additional tabs, as needed:

  11. To print a record of the violation, click Print Menu and configure print options
