Previous Step: Create & Manage Permit Applications

Create Inspections

  1. Sign in to your site

  2. Navigate to Permitting System, click List, and select a record The expandable option labeled Permitting System in the vertical left-hand menu, then the option labeled List, and the URL in the column labeled Permit Number.

  3. Click Edit The button labeled Edit.

  4. Navigate to the Inspections tab and click Add New The tab labeled Inspections, and then the URL labeled Add New.

  5. Follow the instructions to add and schedule an inspection An example image of the fields under the Inspection Details header.

Resulting Scheduled Inspections

  1. Sign in to your site

  2. Use My Dashboard to identify permit inspections scheduled for the current day The option labeled My dashboard tab in the vertical left-hand navigation menu.

  3. Click the inspection record in the calendar, which will open in a new tab The scheduled inspection event selected on the calendar.

  4. Scroll down to the Comments field. Enter any general notes or summary of violations. If there are no violations, enter any general comments about the passing inspectionThe text entry field labeled Comments.

  5. If image evidence is required, add photos under the Documents section The Invoke Camera, Take Snapshot, and Save Snapshot buttons.

  6. If the inspection is in a failed status, and if citing code ordinances are required:

    1. Scroll to the Codes section. Search for and add another code to this record The URL labeled Search for an add another code to this record.

    2. Search for a code ordinance The Category drop down menu and text entry field labeled Search Term under the Search Codes header.

    3. Select the checkbox of the required code. Click Add selected codes/laws to current record The Add selected codes / laws to current record button and the checkbox toggle in the Category column.

    4. Click Edit next to the code just added The URL labeled Edit in the Action column.

    5. In the Observation box, enter the conditions found and corrective action required The text entry box labeled Observations.

    6. Click Save Codes The button labeled Save Codes.

  7. Scroll to the top of the inspection. Change the Status to Pass or Fail The drop down menu labeled Status under the Inspection Details header.

  8. Scroll down and click Save Inspection The button labeled Save Inspection.

    Note:

    For a failed inspection, some software versions will prompt the user. They will ask if a violation record should be created in the Code Enforcement system. If this message appears, the user must click "No".

  9. If the inspection failed, schedule a re-inspection

Generate Inspection Result Letters

  1. Navigate to Permitting System > List and select the record The expandable option labeled Permitting System in the vertical left-hand navigation menu, then the option labeled List, and then the URL in the Permit Number column.

  2. Click Edit The button labeled Edit.

  3. On the Inspections tab, select the radio button for the resulting inspection number The radio button in the Inspection Number column under the Permit Inspections header.

  4. Click Print Menu The button labeled Print Menu.

  5. Depending on the status of the inspection, select either the inspection pass or fail letter The drop down menu labeled Select A Form / Letter To Print.

    Note:

    Customers may use different names for their inspection result letters.

  6. Click the box to save the form The checkbox toggle labeled Check this box if you want to save this form.

  7. Select the Addressee and enter a Salutation The drop down menu labeled Select Addressee / Receiver, and the text entry field labeled Select Salutation.

  8. Click Print Letter The button labeled Print Letter.

  9. The PDF will open in a new browser tab, where you can print it if needed

  10. Click Save Permit The button labeled Save Permit.

Send Inspection Documents

  1. Sign in to your site

  2. Navigate to Permitting System, click List, and select a record The expandable option labeled Permitting System in the left-hand navigation menu, then the option labeled List, and then the URL in the Permit Number column.

  3. Click Edit The button labeled Edit.

  4. On the Status tab, select Routing Details. Then, open one of the departments that will send the inspection results.The expandable option labeled Routing Details, then the expandable Department option.

  5. In the Send Email To box, select who should receive the email The box labeled Send Email To.

  6. In the file name section, select the inspection results letter The checkbox toggle in the ID column.

  7. Add a Message and click Save Notes/Send Message The text box field labeled Message, and the button labeled Save Notes / Send Message.

  8. The system sends the email with the inspection results letter attached
