“Minutes” Indicator Replaced with Toggle Control in Agenda Attachments

Agenda and Meeting Management Select has replaced the static “X” indicator in the Agenda Attachments view with an interactive toggle control. This simplifies how clerks manage which attachments are included in meeting minutes. The enhancement also provides a more intuitive and efficient way to include or exclude attachments directly from the Agenda workflow.

Key Enhancements

  • Interactive Toggle Control: The “Minutes” column now uses a toggle instead of a static “X” indicator. This allows users to easily enable or disable inclusion of attachments in Minutes.

  • Immediate Updates: Changes made using the toggle are saved instantly and persist after page refresh.

  • Synchronized Behavior: Updates to the toggle reflect across both Agenda Attachments and Item Files. This ensures consistent attachment status.

  • Clear Visual State: The toggle clearly displays whether an attachment is included in Minutes (on/off). This improves visibility and reduces confusion.

  • Permission-Based Access:

    • Users without the “Has Access to Minutes Module” permission will see the toggle disabled (grayed out).

    • The toggle reflects the current state but cannot be modified.

  • Accessible Tooltip:

    • A tooltip labeled “Include in Minutes” appears on hover.

    • The tooltip is accessible to screen readers, supporting WCAG compliance.

  • No Impact to Existing Minutes: Disabling the toggle does not remove attachments from already generated Minutes documents.

What to Expect

Clerks can now manage attachment inclusion in Minutes directly from the Agenda Attachments page with a simple toggle. This reduces navigation and improves workflow efficiency. Existing functionality and permissions remain intact, with added clarity and control over official meeting records.

Upgraded Froala Editor to Version 5.0

We have upgraded the Froala WYSIWYG editor from version 4.3.1 to 5.0. This enhancement delivers improved performance, enhanced stability, and better long-term support for editing experiences across the platform.

How This Applies

Users will experience a more stable and responsive editing experience when working within Froala-enabled fields. Existing content, formatting, and workflows remain unchanged. No action is required from users.


WCAG 2.1 Admin Portal Improvements

Accessible Page Titles Added to Generated Files (WCAG 2.4.2 – Page Titled)

Agenda and Meeting Management Select now ensures that generated agenda documents include proper, programmatically defined page titles. This includes agendas, agenda packets, and item reports. The enhancement improves accessibility for residents and assistive technology users. It also supports better document navigation and identification for screen readers and accessibility tools.

  • Page Title Support (WCAG 2.4.2 – Page Titled): Generated documents now include a defined page title that can be detected by screen readers and accessibility tools.

  • Standardized Title Format: Users should use titles that follow a consistent, descriptive structure: [Municipality] – [Board/Commission] – [Meeting Type] – [YYYY-MM-DD] – [Document Type]. This ensures clarity, consistency, and improved usability across all generated documents.

  • Meaningful Document Titles: Page titles are derived from the file name provided during the Create/Upload process in Agenda Files and aligned with the meeting context.

  • Consistent Across Outputs: Page titles are applied across:

    • Generated agenda documents

    • Agenda packets

    • Item reports

    • Public Portal document views

What to Know

Residents and assistive technology users will experience clearer document context and improved navigation when opening agenda-related files. Accessibility scans will no longer flag missing page titles. Documents will follow a consistent, descriptive naming convention that supports compliance and usability.

Improved Font Size and Contrast on Board Portal Pages (WCAG 1.4.3)

Agenda and Meeting Management Select has enhanced font size and color contrast across key Board Portal pages. This improves readability and accessibility for council members and board users. These updates ensure agenda content is easier to read during meetings and preparation while aligning with WCAG accessibility standards.

Key Features

  • Improved Text Readability (WCAG 1.4.3 – Contrast (Minimum)): Text color has been updated to provide sufficient contrast against background elements. Low-contrast gray text is replaced with more accessible color values.

  • Increased Font Size: Agenda card text and related content have been enlarged to improve legibility across all supported devices.

  • Consistent Application Across Pages: Enhancements apply to:

    • Agendas

    • Notes

    • Minutes

    • Media pages

  • Responsive Across Devices: Improvements are applied consistently across desktop, tablet, and supported mobile views.

  • No Layout Changes: Meeting card sizes, layout structure, and navigation behavior remain unchanged. Only text styling (size and color) has been updated.

  • Accessibility Compliance: Updates meet WCAG 2.2 AA contrast requirements. Usability is improved for users with low vision or color perception challenges.

Board Portal users will experience clearer, more readable content across agenda-related pages. Improved contrast and larger text reduce eye strain. These changes enhance accessibility without impacting existing workflows or layout behavior.
