Generate an Agenda and Agenda Packet

This article will show you how to generate an agenda and an agenda packet.

Instructions

  1. Sign in to the system if you have not already

  2. Navigate to the Meetings module:The Meetings Module option on the left-hand navigation menu.

  3. Select the desired agenda:An example agenda tile in the Meetings module.

  4. Navigate to the View menu and select the Agenda Files option from the dropdown list:The View menu dropdown with the Agenda Files option highlighted.

  5. Click the Create/Upload button in the Created/Uploaded section:The white, rectangular Create/Upload button to the right of the Created/Uploaded section header.

  6. Ensure that the Create tab is selected:The purple, rectangular Create tab below the Create/Upload modal header.

  7. Fill in the information fields:The Create tab information fields.

    • File to Create (required): Ensure that the Agenda option is selected within the dropdown list

    • File Name (required): Enter a name for the agenda file

    Note

    You must generate an agenda before you generate an agenda packet.

  8. Click the Create File button:The green, rectangular Create File button in the lower-right corner of the Create/Upload modal.

  9. The agenda has been created and can now be found in the Created/Uploaded section:An example agenda in the Created/Uploaded list.

  10. Click the View PDF (Portable Document Format) File, View Word File, or View HTML (HyperText Markup Language) icons to the right of the agenda to download the agenda file to your device:Example agenda file icons.

  11. To create an agenda packet, click the Create/Upload button again:The white, rectangular Create/Upload button to the right of the Created/Uploaded section header.

  12. Ensure that the Create tab is selected:The purple, rectangular Create tab below the Create/Upload modal header.

  13. Fill in the information fields:The information fields that appear when Agenda Packet is selected in the File to Create field.

    • File to Create (required): Click this field and select the Agenda Packet option from the dropdown list

    • File Name (required): Enter a name for the Agenda Packet file

    • Agenda for Packet: Click this field and select the agenda you wish to use for the packet from the dropdown list

    • Regenerate Agenda Item Reports: Check this checkbox to automatically report on item edits

    • Include Non-Confidential Attachments: Check this checkbox to include any non-confidential attachments in the packet

    • Include Confidential Attachments Available To: Click this field and select the confidential attachments groups you wish to make any confidential attachments available to, if desired

  14. Click the Create File button to generate the agenda packet:The green, rectangular Create File button in the lower-right corner of the Create/Upload modal.

  15. The agenda packet has been created and can now be found under the Created/Uploaded section:An example agenda packet in the Created/Uploaded section.

  16. Click the View PDF File button (PDF icon) to download the agenda packet to your device:An example agenda packet file icon.

    Note

    It may take up to a few minutes for the system to create your packet, depending on the file size. If changes are made to the agenda or an item, you will need to regenerate the packet to reflect those changes.
