Manage Backup Approvers for Another User

Backup Approvers allow users to approve agenda items on behalf of another user when that user is unavailable. System Administrators and Agenda Managers can manage Backup Approver assignments for other users, including adding, updating, and removing Backup Approvers as needed.

Backup Approver access can be active at all times, limited to a specific date range, or disabled. This flexibility helps keep approval workflows moving during vacations, leave, or other absences.

This article explains how to add, edit, and delete Backup Approvers for another user.

Important Note

You must have the “Access to User and Global Site Settings“ permission enabled in your user profile to manage another user’s backup approvers.

Add a Backup Approver for Another User

  1. Sign in to your solution if you have not already

  2. Navigate to the User Menu, then select the Settings option:

  4. Click the Users tile:

  5. Click the Edit tool (purple pencil icon) to the right of the user whose backup approvers you wish to manage:

  6. Navigate to the Meetings section:

  7. Locate the My Backup Approvers subsection and click the Add My Backup Approver button:

  8. Click the Approver field and choose a backup approver from the Select Approver dropdown list:

  9. Select the duration of approver abilities:

    • Always: Grant approver abilities immediately and indefinitely

    • Specific Dates: Grant approver abilities temporarily within a specific date range

      Note:

      When “Specific Dates” is selected as the duration, Start Date and End Date fields appear. You can click into either field to manually type the desired dates or click the calendar icon in either field to display a calendar picker that can be used to select dates:

    • Disabled: Revoke approver abilities

  10. Click the Add Backup Approver button:

  11. Click the Save Changes button:

  12. The backup approver has been added


Edit a Backup Approver for Another User

  1. Sign in to your solution if you have not already

  2. Navigate to the User Menu, then select the Settings option:

  5. Click the Edit tool (purple pencil icon) to the right of the user whose backup approvers you wish to manage:

  6. Navigate to the Meetings section:

  7. Locate the My Backup Approvers section and click the Edit tool (purple pencil icon) next to the approver you wish to edit:

  8. Click the Approver field and choose a backup approver from the dropdown list, if desired:

  9. Select the duration of approver abilities, if desired:

      Note:

  10. Click the Save Changes button:

Delete a Backup Approver for Another User

  1. Sign in to your solution if you have not already

  2. Navigate to the User Menu, then select the Settings option:

  4. Click the Users tile:

  5. Click the Edit tool (purple pencil icon) to the right of the user whose backup approvers you wish to manage:

  6. Navigate to the Meetings section:

  7. Locate the My Backup Approvers section and click the Delete button (red trash can icon) next to the approver you wish to delete:

  8. Click the Delete Backup Approvers button on the Delete Backup Approvers pop-up that appears to confirm the deletion:

  9. Click the Save Changes button:

  10. The backup approver has been removed from the user’s “My Backup Approvers” list
