Upload a Media Services File

Organizations and municipalities with CivicPlus Media can apply media services, such as Closed Captioning, Transcription, Translation, and Audio Description, to their meeting media, either automatically or manually. Those who choose to apply services manually can upload their prepared files in the Events module.

Once uploaded, these files can be used or downloaded with the Events module and Public Portal media players, where available. This article will explain how to upload media services files.

Important Notes

  • You must have access to the Events module to upload a media services file.

  • Allowing Public Portal visitors to download files is a custom setting that is not enabled by default. When enabled, it applies to all media file types, including video, audio, captions, audio descriptions, translations, and transcripts, when available. This setting applies to all media files and cannot be configured by file type or by individual meeting. If you would like to request that this feature be enabled, contact Support.

  • Media services files do not have size limits, but each media file type supports only certain file formats. View the Accepted File Formats and Size Restrictions article for information about the types of files that are supported.

Instructions

  1. Sign in to your solution if you have not already

  2. Navigate to the Events module:

  3. Select the event associated with the desired meeting:

    Note:

    If you are unable to locate your event, ensure your event filters are set to include past events.

  4. Navigate to the View menu and click the Event Media option from the dropdown list:

  5. Scroll to the Media Services section:

  6. Click the Upload/Order Media Services button:

  7. Click the Upload tab on the Upload/Order Media Services modal:

  8. Select the Media File Type that you will be uploading:

    • Closed Caption: Upload a file that contains time-coded text for a video or audio recording, including spoken dialogue and important sounds, which displays as captions during playback. Only SRT, SCC, STL, TDS, CIN, ASC, CAP (Caption File), MPSUB, and VTT files can be uploaded as closed captions.

    • Transcription: Upload a file that provides a written record of the spoken audio from a video or recording. Only PDF files can be uploaded as transcripts.

    • Translation: Upload a file that contains translated text in another language for multilingual support. Only SRT, SCC, STL, TDS, CIN, ASC, CAP (Caption File), MPSUB, and VTT files can be uploaded as translations.

    • Audio Description: Upload a file that includes time-coded narration describing key visual details. Only AAC, M4A, and MP3 files can be uploaded as audio descriptions.

  9. If you are uploading a Translation file, click the Language dropdown and select the language of the file:

    Note:

    Skip to step 10 if you are uploading a closed caption, transcription, or audio description file.

  10. Drag and drop the media file onto the Upload field, or click the Upload field and select a file from your computer's File Explorer:

    Note:

    Media services files do not have size limits, but each media file type supports only certain file formats. If you try to upload a file that is not supported, the upload will fail. An error message will display that lists the accepted formats for the file type. See the bullet points in step 8, or our Accepted File Formats and Size Restrictions article, for a list of supported file formats.

  11. Click the Upload File button:

  12. View or download the uploaded file in the Media Services section:

  13. The uploaded file can also be used or downloaded using the media player in the Event Media section, or using the Public Portal media player if Public Portal downloads have been enabled by Support:
