Use the Send to Code Integration

The Agenda and Meeting Management Select and Online Code Hosting Send to Code Integration allows you to quickly send legislation documentation to your online code library for supplementation. This article will show you how to send documents to Online Code Hosting and how to find legislation you have sent to your online code.

Important Notes

Send Ordinance Documents to Municode

  1. Sign in to your solution if you have not already

  2. Navigate to the Meetings module:The Meetings module button in the dashboard's left-hand navigation menu.

  3. Select the agenda with the legislation you wish to send:An example agenda card.

  4. Select the desired item:An example item.

  5. Navigate to the View menu and choose the Item Files option from the dropdown list:The View menu with the Item Files option highlighted.

    Note:

    The default view is Item Fields.

  6. Navigate to the Send to Municode section and click the Send to Municode button:The white, rectangular Send to Municode button to the right of the Send to Municode heading.

    Note:

    The Send to Municode button only appears if the integration has been configured for the Meeting Type of this agenda.

  7. Fill in the ordinance details:The information fields on the Send to Municode Modal.

    • Product Name: The destination for your code update

      Note:

      The dropdown list contains all the Municode Codification online code books/libraries configured for your account.

    • Ordinance Number: The Ordinance Number as it will appear on your online code book/library

      Note:

      If you are using Agenda and Meeting Management Select ordinance numbering, this field will automatically populate with the information from the Item Fields page. This information can be modified before sending the code update.

    • Adoption Date: The date of adoption for your code update

    • Item Name: The name of your item, automatically populated from the Item Fields page

      Note:

      This information can be used to verify you are working on the correct item.

    • Ordinance Document: The primary document related to your code update

      Note:

      The dropdown list contains all generated item reports and attachments for the item.

    • Attachments: Optional documents to be included in your code update

      Note:

      The dropdown list contains all generated item reports and attachments for the item, except for the one selected in the Ordinance Document field.

    • Upload Additional Attachments: Optional documents from outside the system can be uploaded using this field

      Note:

      These documents are only sent with the code update and are not stored in the system.

    • Description: The description of the update will be displayed as the summary in your code book/library

      Note:

      This field will automatically populate with information from the Item Fields page (the visibility and name of the Item Description field are configurable per Meeting Type). This information can be modified before sending the code update.

  8. Click the Send to Municode button:The green, rectangular Send to Municode button in the lower-left corner of the Send to Municode modal.

  9. The ordinance document(s) has been sent to Municode:The Send to Municode section with details of the documentation that has been sent.

    Note:

    You will receive a confirmation email once the request has been received by your online code book/library, and the update will appear in the "Adopted Not Yet Codified" section of your online code.

View Legislation After It Is Sent to Your Online Code

Once an ordinance has been sent from Agenda and Meeting Management Select to your online code, it will appear on your organization's Online Code Hosting online code landing page.

  1. Navigate to your online code:An example online code homepage.

    Note:

    You do not need to sign in to Online Code Hosting to view legislation.

  2. In the Adopted Ordinances Not Yet Codified list, select the desired ordinance:An example ordinance link within an Adopted Ordinance Not Yet Codified list.

    Note:

    You can click the View button on the Agenda and Meetings card to the right of the Adopted Ordinances list to access the Public Portal for your municipality, if applicable:

  3. View your ordinance content in the embedded PDF viewer:An example ordinance in the embedded PDF viewer.

    Note:

    Click the Details tab above the document to see additional information about the meeting and a link to its Public Portal Meeting Details page:

Navigate Back to Meeting Information After Codification

Once an ordinance is codified, it is removed from the landing page of your online code and is merged into the appropriate code sections. Each section that has been updated by an ordinance sent from Agenda and Meeting Management Select has a history note with two different links. You can use the Ordinance Title and Meetings Badge links under an ordinance that has been codified through Agenda and Meeting Management Select to navigate back to information about the ordinance and its associated meeting:An example meetings badge within an ordinance history note.

  • Ordinance Title: Click this link to view the PDF of the original ordinance

  • Meetings Badge: Click this icon to view details about the meeting in which this ordinance was voted on
