This article will show you how to add an item to an Archive Center category.

Add an Archive Center Item

Who can use this feature?

System Administrators | Owners | Publishers | Authors

  1. Sign in to your site.

  2. Navigate to Modules and on the Content tab, select Archive Center:Navigation menu highlighting the Archive Center in the Municipal Websites Central interface.

  3. Select Choose an Action and then Add Item for your desired category:

  4. Enter the information:

    A form for adding city budget items with fields for display name and dates.

    • Display Name: The title or label shown for this archive item. This field is required.

    • Archive Date: The date associated with this item, using the format mm/dd/yyyy. This field is required.

    • Description: A free-text field for additional details about the item.

    • Start Display: The date this item should begin appearing publicly, using the format mm/dd/yyyy.

    • End Display: The date this item should stop appearing publicly, using the format mm/dd/yyyy.

    • Opens In: Controls how the linked content opens when clicked. The default is "Same Window."

    • Show Archives: Toggles whether archived versions are shown. The default is "No."

    • File Upload: Lets you attach a file to the item. The maximum file size is 20 MB, and the multiple file upload feature should be used for larger files. This option only becomes available after saving.

    • Convert to PDF: Converts the uploaded file to PDF. This only works for files of type TXT, DOC, DOCX, HTML, HTM, XLS, or XLSX. This option only becomes available after saving.

    • Online Editor: Opens an online editor to create or edit content directly instead of uploading a file. This option only becomes available after saving.

      Note:

      You must save before you can use the Online Editor.

  5. Locate and click the Save button:

Modify an Archive Center Item

Who can use this feature?

System Administrators | Owners | Publishers | Authors

  1. Sign in to your site.

  2. Navigate to Modules, and on the Content tab, select Archive Center:Navigation menu highlighting the Archive Center in the Municipal Websites Central interface.

  3. Select the category that contains your desired item:A list of published content with emphasis on the City Budget entry.

  4. Select your desired item:A list of published reports with the Winter 2020 Report highlighted prominently.

  5. Modify the item’s properties:A form for modifying the Annual Water Quality Report with file upload options.

    • Display Name (required): Name the item

    • Archive Date (required): Meeting or publication date; the system sorts items by this date

    • Description: Brief description of the item

    • Start Display: Enter a start display date to auto-publish the category. Leave blank to publish immediately after you save.

    • End Display: Enter an end display date to auto-unpublish. Leave blank to indicate no end display date; you must unpublish manually.

    • Opens In: Determines if the item will open in a new window. We recommend that archived items open in a new window.

    • Show Archives: Leave as default (Yes)

    • File Upload: Click Choose File to add a file

    • Convert to PDF: Converts the file to a PDF

  6. Locate and click Save or Save and Publish:User interface showing options to save, cancel, and view site settings. The save button is highlighted.


Delete an Archive Center Item

Who can use this feature?

System Administrators | Owners | Publishers

  1. Sign in to your site

  2. Navigate to Modules and on the Content tab, select Archive Center:Navigation menu highlighting the Archive Center in the Municipal Websites Central interface.

  3. Select the category name that contains the item you want to delete:A list of published content with emphasis on the City Budget entry.

  4. Find the item you would like to delete and select Choose an Action and then Unpublish:A list of water quality reports with highlighted actions to unpublish an item.

  5. Select Choose an Action and then Delete:Table displaying annual water quality reports with highlighted action options to delete an item.

  6. Select OK on the dialog box that says 'Are you sure you want to delete this item?':A confirmation dialog asking if the user wants to delete an item with options.
