Add and Manage Archive Center Categories

Categories in the Archive Center help organize archived documents. They also make documents easier to find on your site.

Who can use this feature?

System Administrator | Owner

Add an Archive Center Category

  1. Sign in to your site.

  2. Select Modules, and on the Content tab, select Archive Center:

  3. Select the Add Category button:

  4. Fill in the information:

    • Archive Name (required): Name of the category

    • Start Display: The default is blank. This means the Archive Category publishes right away. Enter a display date to auto-publish the category on that date instead

    • End Display: The default is blank. This means the Archive Category stays published until someone unpublishes it. Enter an end display date to auto-unpublish the category on that date instead

    • Show Archives: Leave as the default

    • Permissions: Setting permissions at the category level is suggested

      • View: May view the live side only

      • Author: Can submit new items, modify unpublished items

      • Publisher: Can publish new items. Can modify or delete unpublished items. Can modify or unpublish published items. Can publish or reject submitted items

      • Owner: Can publish new items. Can modify or delete unpublished items. Can modify or unpublish published items. Can publish or reject submitted items. Can create or modify categories. Can also assign category permissions

  5. Select a Saving option:

    • Cancel: Will delete your work

    • Save: Will save the work as an unpublished draft

    • Save and Publish: Will save the work and publish it for viewing


Modify an Archive Center Category

  1. Sign in to your site.

  2. Select Modules, and on the Content tab, select Archive Center:

  3. Select Choose an Action, and then Properties for a category:

  4. Make the modifications:

    The Archive Properties interface shows permissions and display settings for agendas.

    • Archive Name (required): Name of the category

    • Start Display: The default is blank. This means the Archive Category publishes right away. Enter a display date to auto-publish the category on that date instead

    • End Display: The default is blank. This means the Archive Category stays published until someone unpublishes it. Enter an end display date to auto-unpublish the category on that date instead

    • Show Archives: Leave as the default

    • Permissions: Setting permissions at the category level is suggested

      • View: May view the live side only

      • Author: Can submit new items, modify unpublished items

      • Publisher: Can publish new items. Can modify or delete unpublished items. Can modify or unpublish published items. Can publish or reject submitted items

      • Owner: Can publish new items. Can modify or delete unpublished items. Can modify or unpublish published items. Can publish or reject submitted items. Can create or modify categories. Can also assign category permissions

  5. Click the Save button:

Delete an Archive Center Category

Important Note:

All items in an Archive Category must be unpublished and deleted before you can delete the Archive Category.

  1. Sign in to your site.

  2. Select Modules, and on the Content tab, select Archive Center:

  3. Select Choose an Action and then Unpublish for a category:

  4. Select Choose an Action and then Delete:

  5. Select OK on the dialog box that says, Are you sure you want to delete this category?:
