Import Staff and Departments into Staff Directory

This article will show you how to import Staff and Departments into the Staff Directory. You can use the import tool to easily add items.

Format Rules

  • You must first create an Excel file with your items.

  • You can view a Template with these fields as a Resource attached to this article.

    Note:

    The CSV template has two separate spreadsheets: Departments and Staff. To update Department or Staff information, use the correct spreadsheet. The Departments spreadsheet creates departments inside the module. The Staff spreadsheet creates the users and staff. If you update your CSV file correctly, you can import the entries without errors.

  • Required fields on the Excel file include:

    • Name

    • Address 1

    • Address 2

    • City

    • State

    • ZIP Code

    • Mail Address 1

    • Mail Address 2

    • Mail City

    • Mail State

    • Mail Zipcode

    • Phone

    • Emergency Phone

    • Fax

    • Email

    • Show Email as

    • Link

    • Link Text

    • Brief Description

    • Hidden

    • Show Archive

    • Category

    • Sub-Category

  • If you leave a field blank, enter a space in the field and move on.

Instructions

  1. Sign in to your site.

  2. Navigate to Modules and, on the Content tab, select Staff Directory:

  3. Click the Import Staff button:

  4. Click the Choose File button:

  5. Locate and Open your file:

  6. Review the Yes and No questions:

    Import Staff Directory with options for field names and duplicate entries.

    • First Line Contains Field Names: Tells the importer whether to ignore the first line or treat it as actual content

    • Override All Duplicate Entries: Saves over any duplicate entries, using the changes from the import

    • Automatically Publish All Imported Data: Saves and publishes all imported data. If set to No, the data is only saved, not published. It will then need to be published manually

  7. Click the Upload File button:

    Upload the Staff Directory file and select import options in the web interface. The Upload File button is highlighted for selection.

  8. A pop-up will display a summary of Successful and Unsuccessful items. Click OK to exit
