Prompt Response Types

Prompts in Recreation Management gather custom information from users, specific to program registrations or facility rentals. This data is displayed on receipts and can be in various reports.

This article contains descriptions of the Prompt Response Types you may need to choose from when you create a Prompt.

Date Request

The Date Request type gives the customer the option to choose dates for an activity/facility.

The Type field is highlighted and set to Date Request.

  • Name: Title the prompt

  • Type (required): Select Date Request

  • Category (required): Select a category for your prompt

  • Text: Enter content for the prompt

  • Required: Select to require the prompt upon checkout

  • Viewable by Instructors: Select to make the prompt viewable by instructors

  • Print on Receipt: Determines whether this prompt will print on the receipt

  • Follows User

    • Once per user: Only require one answer per user

    • Once per cart: Will show only once no matter how many items with the prompt are in the cart

    • Once per line item: Will put the prompt on every item


Donation Prompt

Use this prompt to allow users to donate to a specified program.

The Type drop-down field is set to Donation Prompt and highlighted.

  • Name: Title the prompt

  • Type (required): Select Donation Prompt

  • Category (required): Select a category for your prompt

  • Text: Enter content for the prompt

  • Required: Select to require the prompt upon checkout

  • Viewable by Instructors: Select to make the prompt viewable by instructors

  • Print on Receipt: Determines whether this prompt will print on the receipt

  • Donation Program: Select a program for the donation to apply to

  • Follows User

    • Once per user: Only require one answer per user

    • Once per cart: Will show only once no matter how many items with the prompt are in the cart

    • Once per line item: Will put the prompt on every item


Guest Prompt

This prompt allows users to enter guest names, if applicable, to be added to the activity/reservation.

The Type drop-down field is highlighted and set to Guest Prompt.

  • Name: Title the prompt

  • Type (required): Select Guest Prompt

  • Category (required): Select a category for your prompt

  • Text: Enter content for the prompt

  • Required: Select to require the prompt upon checkout

  • Viewable by Instructors: Select to make the prompt viewable by instructors

  • Print on Receipt: Determines whether this prompt will print on the receipt

  • Follows User

    • Once per user: Only require one answer per user

    • Once per cart: Will show only once no matter how many items with the prompt are in the cart

    • Once per line item: Will put the prompt on every item


License Plate

This prompt can be used to request license plate numbers from the users who are registering for an activity or reserving a facility. This information can then be pulled on the License Plate Report.

The Type drop-down field is set to License Plate and highlighted.

  • Name: Title the prompt

  • Type (required): Select License Plate

  • Category (required): Select a category for your prompt

  • Max Response Length: Enter the maximum number of license plates that can be entered, keep it blank or zero for unlimited plates

    Note:

    The maximum value allowed is 1,000 characters.

  • Text: Enter content for the prompt

  • Required: Select to require the prompt upon checkout

  • Viewable by Instructors: Select to make the prompt viewable by instructors

  • Print on Receipt: Determines whether this prompt will print on the receipt

  • Follows User

    • Once per user: Only require one answer per user

    • Once per cart: Will show only once no matter how many items with the prompt are in the cart

    • Once per line item: Will put the prompt on every item


Mandatory Agreement

This prompt forces the user to select that they agree to something, similar to a waiver. For example, if a coach will be required to complete a mandatory training.

The Type drop-down field is set to Mandatory Agreement and highlighted.

  • Name: Title the prompt

  • Type (required): Select Mandatory Agreement

  • Category (required): Select a category for your prompt

  • Text: Enter content for the prompt

  • Required: Select to require the prompt upon checkout

  • Viewable by Instructors: Select to make the prompt viewable by instructors

  • Print on Receipt: Determines whether this prompt will print on the receipt

  • Follows User

    • Once per user: Only require one answer per user

    • Once per cart: Will show only once no matter how many items with the prompt are in the cart

    • Once per line item: Will put the prompt on every item


Multi-Line Text

Ask a question or request information that can be answered in multiple lines. For example, if you want a user to describe their event.

The Type drop-down field is set to Multi-Line Text and highlighted.

  • Name: Title the prompt

  • Type (required): Select Multi-Line Text

  • Category (required): Select a category for your prompt

  • Max Response Length: Enter a character limit

    Note:

    The maximum value allowed is 1,000 characters.

  • Text: Enter content for the prompt

  • Required: Select to require the prompt upon checkout

  • Viewable by Instructors: Select to make the prompt viewable by instructors

  • Print on Receipt: Determines whether this prompt will print on the receipt

  • Follows User

    • Once per user: Only require one answer per user

    • Once per cart: Will show only once no matter how many items with the prompt are in the cart

    • Once per line item: Will put the prompt on every item


Multiple Choice

This prompt allows you to request information and provide multiple options for answers. Users can only select one answer option. An example use case may be to ask a participant to choose the size of t-shirt they need for an event.

The Type drop-down field is set to Multiple Choice and highlighted.

  • Name: Title the prompt

  • Type (required): Select Multiple Choice

  • Category (required): Select a category for your prompt

  • Options: Select Add Item to add multiple choice options; use the arrows to drag items into your desired order:The Multiple Choice prompt type options fields are highlighted.

  • Text: Enter content for the prompt

  • Required: Select to require the prompt upon checkout

  • Viewable by Instructors: Select to make the prompt viewable by instructors

  • Print on Receipt: Determines whether this prompt will print on the receipt

  • Follows User

    • Once per user: Only require one answer per user

    • Once per cart: Will show only once no matter how many items with the prompt are in the cart

    • Once per line item: Will put the prompt on every item


Numeric

This prompt allows users to input a numerical answer and can be used for questions like how many guests will attend an event.

The Prompt Settings tab's Type field is set to Numeric and highlighted.

  • Name: Title the prompt

  • Type (required): Select Numeric

  • Category (required): Select a category for your prompt

  • Minimum/Maximum Numeric Value: Enter a range for the numbers that can be entered

  • Text: Enter content for the prompt

  • Required: Select to require the prompt upon checkout

  • Viewable by Instructors: Select to make the prompt viewable by instructors

  • Print on Receipt: Determines whether this prompt will print on the receipt

  • Is Admission: Check if this prompt is recording attendance for a reservation or rental

    Note:

    This setting will populate the Attendance column in reservation reports and the Attendance field on the adjust rental > Basic Details screen

  • Follows User

    • Once per user: Only require one answer per user

    • Once per cart: Will show only once no matter how many items with the prompt are in the cart

    • Once per line item: Will put the prompt on every item


One or More Options

Use this prompt to ask a question/request information where the user can select one or more answers. For example, to ask a user to select the days of the week they are available for practice.

The Type field on the Prompt Settings tab is set to One or More Options and highlighted.

  • Name: Title the prompt

  • Type (required): Select One or More Options

  • Category (required): Select a category for your prompt

  • Options: Select Add Item to add options; use the arrows to drag items into your desired order The One or More Options Type prompt with the Options section highlighted.

  • Text: Enter content for the prompt

  • Required: Select to require the prompt upon checkout

  • Viewable by Instructors: Select to make the prompt viewable by instructors

  • Print on Receipt: Determines whether this prompt will print on the receipt

  • Follows User

    • Once per user: Only require one answer per user

    • Once per cart: Will show only once no matter how many items with the prompt are in the cart

    • Once per line item: Will put the prompt on every item


Single-Line Text

Use this prompt to ask a question or request information that can be answered in one line or a few characters. For example, to ask what elementary school a participant attends.

The Type field of the Prompt Settings tab is set to Single-Line Text and highlighted.

  • Name: Title the prompt

  • Type (required): Select Single-Line Text

  • Category (required): Select a category for your prompt

  • Max Response Length: Enter a character limit

    Note:

    The maximum value allowed is 1,000 characters.

  • Text: Enter content for the prompt

  • Required: Select to require the prompt upon checkout

  • Viewable by Instructors: Select to make the prompt viewable by instructors

  • Print on Receipt: Determines whether this prompt will print on the receipt

  • Follows User

    • Once per user: Only require one answer per user

    • Once per cart: Will show only once no matter how many items with the prompt are in the cart

    • Once per line item: Will put the prompt on every item


Yes/No

This prompt allows you to ask a yes or no question. For example, to ask if there will be a charge to attend the event.

The Type field of the Prompt Settings tab is set to Yes/No and highlighted.

  • Name: Title the prompt

  • Type (required): Select Yes/No

  • Category (required): Select a category for your prompt

  • Text: Enter content for the prompt

  • Required: Select to require the prompt upon checkout

  • Viewable by Instructors: Select to make the prompt viewable by instructors

  • Print on Receipt: Determines whether this prompt will print on the receipt

  • Follows User

    • Once per user: Only require one answer per user

    • Once per cart: Will show only once no matter how many items with the prompt are in the cart

    • Once per line item: Will put the prompt on every item
