Connect a LinkedIn Account to the Archive

This article walks through all the different ways to connect a LinkedIn Account to the Archive. Whether you are a system admin, customer, or connecting multiple pages.

Prerequisites and Critical Information

  • The Connect LinkedIn button and Connection Flow must be enabled by the Social Media Archiving Customer Experience team

    • Please contact Support to request this be enabled, should you not see the Connect LinkedIn button in your archive

  • Every user posting to a LinkedIn Company Page must follow the connection flow(s) below to ensure their authored posts are captured

  • LinkedIn does not backtrack to capture past records

  • LinkedIn records and Pages can take several hours to populate in the archive, sometimes up to a few days or only after a new post is made to the account

  • LinkedIn does not allow for dummy/fake Profiles. Your Profile must reflect your true identity.

  • Using a third-party application (such as Hootsuite, Buffer, and Sprout Social) to schedule and post to a LinkedIn Page is not supported by our compliance partner, Erado. Posts made through third-party tools are not guaranteed to be captured in the archive.

Connect as an Account Owner: Initial Steps

Account Owners are emailed a custom link from [email protected] that takes them to a unique account connection portal, as shown below. The title of the email is ArchiveSocial Action Required: Archive your Social Media.

  1. Find the Account Owner setup email titled CivicPlus Social Media Archiving: Action Required - Connect your Social Media Accounts: Archive Connect email line Item.

  2. Click the custom link provided in the email to navigate to your Connect Accounts page:Required action email link.

  3. Click the Connect LinkedIn button to start the connection flow:An example welcome email.

Connect as a System Admin: Initial Steps

  1. Log in to your Archive

  2. Click Configure:Configure tab.

  3. Click Connect Accounts next to the Account Owner whose LinkedIn you want to connect:The Connect Accounts button next to a User's Name.

  4. Click the Connect LinkedIn button:The Connect LinkedIn button in a list of Social Media options.

All Users: Connection Flow

  1. Sign into your LinkedIn Profile account in the pop-up window:LinkedIn's pop-up Sign In window.

  2. Click the Allow button on the Zix prompt:Zix's confirmation prompt allows you to Allow or Cancel the connection.

    Note:

    Social Media Archiving works with a third-party compliance partner called Zix to archive LinkedIn. To view the Zix application terms, click the terms link in the pop-up window or review the Zix Privacy Policy.

Connect to All Company LinkedIn Pages

  1. Enable both checkboxes under the "Company pages connection settings" heading:A list of options for Company Connection Settings.

    • Autodetect company pages managed by User Name: When enabled, this setting automatically searches for all company pages that are managed by the user

    • Archive autodetected company pages managed by User Name: When enabled, this setting allows any company pages that have been autodetected by the user to be archived

      Note:

      Do not check the box for your Personal Account.

  2. Click the Finish button:The Connect LinkedIn Account page's Finish button.

Connect to Certain Company LinkedIn Pages

  1. Under the "Company pages connection settings" heading, click the checkbox to enable Autodetect company pages managed by User Name:A list of options for Company Pages connection settings.

    • After 1 day, the LinkedIn Pages you manage will be detected

    • Account Owners: From your personalized connection link, use the click here link to add LinkedIn company pages:An example of the personalized connection link for LinkedIn.

  2. Sign in to your LinkedIn account, accept permissions, and then select the Company Pages you would like to archive from the screen:A list of Company pages.

  3. Click the Finish button:The Finish button for Archiving a Personal Page.

Financial Customers: Connect a LinkedIn Profile Account

  1. Under the "Personal Account" heading, check the box to Archive your Personal Page:The Archive Personal Page checkbox.

  2. Click the Finish button:The Finish button for Archiving a Personal Page.

Financial Customers: Connect a LinkedIn Profile and Company LinkedIn Pages

  1. Follow the steps above for Financial customers connecting only a LinkedIn Profile account

  2. Choose either Connecting all LinkedIn Company Pages you Admin or Connecting only certain LinkedIn Company Pages you Admin

  3. Click Finish:Finish button on LinkedIn Accounts options.

Account Connection Error Troubleshooting

Social Media Archiving works with a third-party compliance partner, Zix/Erado, for LinkedIn archiving. Users may occasionally encounter an error during the account connection or reconnection process that requires manual intervention from our Support team.

  • An error message detailing an invalid LinkedIn authorization link

  • An error message detailing that a LinkedIn account is already installed to a different email address

If you receive either of the error messages while attempting to connect or reconnect a LinkedIn account:

  • First, try completing the connection process using an alternate web browser (such as switching from Chrome to Firefox).

  • If the issue persists, contact Support and include the following details:

    • The URL link to the LinkedIn Profile you are using to connect or reconnect a LinkedIn Company Page.

    • The URL link to the LinkedIn Company Page you are trying to connect or reconnect.

Once you email our Support team to create a help ticket, we will utilize the URLs provided to troubleshoot and resolve the connection issue.
