Previous Step: Create & Manage Permit Applications

Create Inspections

  1. Sign in to your site

  2. Navigate to Permitting System, click List, and select a record: Navigation showing a list of permits with permit number and location details in the permitting system.

  3. Click Edit: Permit details showing application number, type, and amount due for drywall work. The edit button is highlighted.

  4. Navigate to the Inspections tab and click Add New: A permit inspection interface with details showing status, dates, and options to add new inspections.

  5. Follow the instructions to add and schedule an inspection: An inspection details form with fields for inspector, dates, and contractor information.

    • Inspection Number: Displays the inspection number

    • Type: Select the inspection type

    • Status: Select the current inspection status

    • Show all inspection types: Check to display all available inspection types

    • Calendar: Select the inspector assigned to the inspection

    • Signatory Title: Select the title of the person signing off on the inspection

    • Secondary Inspector: Select an additional inspector, if applicable

    • Start At: Enter or select the inspection start date and time

    • Inspection End At: Enter or select the inspection end date and time

    • Notify Flag: Check to send a notification regarding the inspection

    • Requester Email: Enter the email address of the inspection requester

    • Canned Response: Select a predefined response for the inspectio

    • Contractor Name: Select the contractor associated with the inspection.

    • Number of Units: Enter the number of units included in the inspection

    • Status Value: Check to allow the system to automatically determine a pass or fail status based on checklist answers. Uncheck to manually control status

    • Final Flag: Check if this is the final inspection (available only when status is Pass)

    • Comments: Enter comments related to the inspection

    • Record Created By: Displays the user who created the inspection record

    • Record Last Updated By: Displays the user who last updated the inspection record

  6. Click the Save Inspection button:

Resulting Scheduled Inspections

  1. Sign in to your site

  2. Use My Dashboard to identify permit inspections scheduled for the current day: A dashboard displaying scheduled inspections and user options for community development management.

  3. Click the inspection record in the calendar, which will open in a new tab: A dashboard displaying scheduled plumbing inspection details for March 2, 2026.

  4. Scroll down to the Comments field. Enter any general notes or summary of violations. If there are no violations, enter any general comments about the passing inspection:Form fields for contractor details, inspection status, and the comments section are highlighted.

  5. If image evidence is required, add photos under the Documents section: User interface for document upload with options to invoke the camera and take snapshots.

    • Check this box to try the back camera: Check to enable the device’s back camera for capturing images

    • Invoke Camera: Activate the camera to begin capturing an image

    • Take Snapshot: Capture a photo using the active camera

    • Save Snapshot: Save the captured image to the inspection record

    • Upload a File: Upload an image or document from your device

    • The following file types are allowed: JPG, PDF, PNG, GIF, TIF, DOC, DOCX, PPT, PPTX, XLS, XLSX, TXT, EML, MBOX, MSG, OGG, MP3, WMA, WAV, MP4, MKV, AVI, MPEG, WEBM, MOV

  6. If the inspection is in a failed status, and if citing code ordinances are required:

    1. Scroll to the Codes section. Search for and add another code to this record: An interface displaying options to save codes or add another code to a record.

    2. Search for a code ordinance: Search the codes section for violation reasons in the ICC database interface.

      • Category: Select a category to filter code search results

      • Search Term: Enter a keyword, phrase, or code section number to search. Use quotation marks for an exact phrase

    3. Select the checkbox of the required code. Click Add selected codes and laws to current record: A search interface displaying results for legal codes and ordinances in a database.

    4. Click Edit next to the code just added: Display of code ordinances with options to save or edit records. The edit link is highlighted.

    5. In the Observations box, enter the conditions found and corrective action required. When finished, click the Save Codes button: A form for entering ordinance codes, including title, penalty, and observations sections.

  7. Scroll to the top of the inspection. Change the Status to Pass or Fail: Inspection details showing status options, including 'Pass' and 'Fail' for plumbing.

  8. Scroll down and click Save Inspection Form fields for entering inspection details and saving the inspection record. The save inspection button is highlighted.

    Note:

    For a failed inspection, some software versions will prompt the user. They will ask if a violation record should be created in the Code Enforcement system. If this message appears, the user must click "No".

  9. If the inspection failed, schedule a re-inspection


Generate Inspection Result Letters

  1. Navigate to Permitting System, click List, and select a record: Navigation showing a list of permits with permit number and location details in the permitting system.

  2. Click Edit: Permit details showing application number, type, and amount due for drywall work. The edit button is highlighted.

  3. On the Inspections tab, click the radio button for the inspection number you want to use:Permit inspection details, including inspection number, type, date, and status information. An inspection is highlighted for selection.

  4. Click Print Menu: Buttons for saving, cloning, canceling, and printing a permit are displayed. The print menu button is highlighted.

  5. Depending on the status of the inspection, select either the inspection pass or fail letter: A form selection interface showing inspection results letters with pass and fail options highlighted.

    Note:

    Customers may use different names for their inspection result letters.

  6. Click the box to save the form: A form printing options with a checkbox to save the form highlighted for user attention.

  7. Select the Addressee and enter a Salutation: A form for printing inspection results, including address selection and salutation fields.

    • Select Addressee or Receiver: Select the person or entity the letter will be addressed to

    • Select Salutation: Enter the letter’s salutation. For example, “Dear Mr. Smith”

  8. Click Print Letter: Form for printing inspection results letter with options for address and salutation. The print letter button is highlighted.

  9. The PDF will open in a new browser tab, where you can print it if needed

  10. Click Save Permit: Buttons for saving, cloning, canceling, and printing a permit in a user interface. The save permit button is highlighted.


Send Inspection Documents

  1. Sign in to your site

  2. Navigate to Permitting System, click List, and select a record: Navigation showing a list of permits with permit number and location details in the permitting system.

  3. Click Edit: Permit details showing application number, type, and amount due for drywall work. The edit button is highlighted.

  4. On the Status tab, select Routing Details. Then, open one of the departments that will send the inspection results:A case status shows routing details and department approvals for building review.

  5. In the Send Email To box, select who should receive the email: An email interface showing groups and departments for permit application communication.

  6. In the file name section, select the inspection results letter: An email interface showing permit application details and the selected inspection results file.

  7. Add a Message and click the Save Notes or Send Message button:An interface showing a message box and a button to save or send notes.

  8. The system sends the email with the inspection results letter attached
