Add Attachments to Agenda Items

Each item on an agenda can have attachments uploaded to it so that they will appear in the agenda packet. This article will show you how to add attachments to agenda items.

Important Note

The system will accept the most frequently used file types such as Word, Excel, and all picture formats, among others.

Upload an Attachment from Your Computer

  1. Sign in to your solution if you have not already

  2. Navigate to the Meetings module:
    The Meetings module button in the left-hand navigation menu.

  3. Select the desired agenda:
    An example agenda in the Meetings module.

  4. Select the desired item:
    An example agenda item.

  5. Navigate to the View menu and select the Item Files option from the dropdown list:

    Note:

    The default view is Item Fields.

  6. Click the Add Attachments button:
    The white, rectangular Add Attachments button to the right of the Attachments header.

  7. Ensure that the Upload tab is selected:

  8. Select the preferred Attachment settings:

    • Show Link on Public Portal: Indicate whether the attachment link is viewable on the Public Portal

    • Confidential (required): Makes the attachment Non-Confidential or Confidential to the desired confidential attachments group

    • Drop or Select File to Upload: Upload or drag and drop files directly from your computer

      Note:

      If uploading a PDF file, the system will automatically run the file through an optimization process to attempt to reduce the file size and improve viewing on the web. The original PDF will not be retained in the system.

  9. Edit the Attachment Name, if desired:
    The Attachment Name field.

  10. Click the Add Attachment button:

  11. Click the Save Item button:
    The green, rectangular Save Item button to the right of the View menu.

  12. View and edit the attachment on the Item Files page:

Upload a Google Drive Document As an Attachment

  1. Sign in to your solution if you have not already

  2. Navigate to the Meetings module:
    The Meetings module button in the left-hand navigation menu.

  3. Select the desired agenda:
    An example agenda in the Meetings module.

  4. Select the desired item:
    An example agenda item.

  5. Navigate to the View menu and select the Item Files option from the dropdown list:

    Note:

    The default view is Item Fields.

  6. Click Add Attachments:
    The white, rectangular Add Attachments button to the right of the Attachments header.

  7. Click the Google Drive tab on the Add Attachment modal that appears:

    Note:

    If you do not see the Google Drive tab, you will need to contact Support to enable the Google Drive integration.

  8. Fill in the Attachment fields:

    • Name (required): Enter a name for the attachment

    • Show Link on Public Portal: Click "Yes" or "No" to indicate if a link to the attachment should be visible on the Public Portal

    • Confidential (required): Check the boxes in this section to make the attachment Non-Confidential or Confidential to specific Confidential Attachments groups

    • Shared Google URL (required): Enter a publicly visible Shared Google URL for the attachment

      Note:

      If you enter a URL that is not publicly visible, you will get an "Unable to verify One Drive URL. Please check the file URL and try again" message.

  9. Click the Add Attachment button:

  10. Click the Save Item button:
    The green, rectangular Save Item button to the right of the View menu.

  11. The attachment has been added:
    An example Google Drive file in the Attachments list.

  12. When a packet that uses the attachment is created, the system will pull the most recent version of the file from Google Drive


Upload a OneDrive File As an Attachment

  1. Sign in to your solution if you have not already

  2. Navigate to the Meetings module:
    The Meetings module button in the left-hand navigation menu.

  3. Select the desired agenda:
    An example agenda in the Meetings module.

  4. Select the desired item:
    An example agenda item.

  5. Navigate to the View menu and select the Item Files option from the dropdown list:

    Note:

    The default view is Item Fields.

  6. Click the Add Attachments button:

  7. Click the OneDrive tab on the Add Attachment modal that appears:

  8. Fill in the Attachment fields:

    • Name (required): Enter a name for the attachment
