Configure Meeting Type Default Templates and Content

Each Meeting Type includes default settings that are automatically applied whenever a new meeting is created. These defaults control the approval template, document designs, and official meeting body used for that Meeting Type, helping ensure meetings are created with a consistent configuration.

Changes to these settings apply only to meetings created after the changes are saved. Existing meetings are not updated automatically.

This article explains how to update the default templates and content for a Meeting Type.

Instructions

  1. Sign in to the system if you have not already

  2. Navigate to the User Menu, then select the Settings option:

  3. Click the Meetings tile:

  4. Click the Meeting Types tile:

  5. Click the Edit button (purple pencil icon) next to the desired Meeting Type:

  6. Navigate to the Default Templates and Content section and update the information fields as desired:

    • Default Approval Template (optional): Select the Approval Template that will be applied by default to all new meetings of this Meeting Type; users can select a different Approval Template when creating or editing a meeting, if needed

      Note:

      Leave this field blank if Approval Templates will be selected individually for each meeting or agenda item. Select a default Approval Template only if most meetings of this Meeting Type use the same approval workflow.

    • Default Agenda Word Design: Select the Word design used to generate agenda documents for all new meetings of this Meeting Type

    • Default Agenda Section Design: Select the Section Design used to format agenda sections in all new meetings created from this Meeting Type

    • Default Agenda Item Design: Select the Item Design used to format agenda items in all new meetings created from this Meeting Type

    • Default Official Body: Select the Board or Official Body associated with this Meeting Type; this determines the governing body used by default for all new meetings

  7. Click a Save option:

    The Save Changes and Save and Exit buttons in the upper-right corner of the Default Settings page.

    • Save Changes: Save your changes and continue configuring the current Meeting Type settings

    • Save and Exit: Save your changes and automatically navigate back to the Meeting Types page

  8. The default templates and content for the selected meeting type have been updated
