Create and Manage Email Snippets

Email Snippets are reusable blocks of text that help users send emails more quickly and consistently. They can be used to insert common messages, notifications, and other frequently used content without retyping the same text each time. Email snippets also support merge tags, such as [PUBLIC_URL], to automatically insert meeting-specific information into an email.

This article explains how to create, edit, reorder, and delete email snippets.

Create an Email Snippet

  1. Sign in to the system if you have not already

  2. Navigate to the User Menu, then select the Settings option:

  3. Click the Meetings tile:

  4. Click the Text Snippets tile:

  5. Navigate to the Email Snippets section:

  6. Click the New Email Snippet button:

  7. Fill in the Add New Email Snippet fields:

    • Snippet Name (required): Enter a name for the email snippet

    • Snippet Text: Enter the text of the snippet

      Note:

      You can use the paragraph formatting and text formatting tools to format the display of the snippet text as desired:

    • Snippet Group: Select the snippet group you wish to assign the snippet to, if desired

  8. Click a Create option:

    • Create Email Snippet: Save the new email snippet and return to the Text Snippets page

    • Create and Add New: Save the new email snippet and immediately begin creating a new one

  9. The email snippet has been created


Edit an Email Snippet

  1. Sign in to the system if you have not already

  2. Navigate to the User Menu, then select the Settings option:

  4. Click the Text Snippets tile:

  5. Navigate to the Email Snippets section:

  6. Click the Edit tool (purple pencil icon) to the right of the email snippet you wish to edit:

  7. Update the Edit Email Snippet fields as desired:

    • Snippet Name (required): Edit the name of the email snippet

    • Snippet Text: Edit or enter the text of the snippet

      Note:

    • Snippet Group: Select the snippet group you wish to assign the snippet to, if desired

  8. Click the Save Changes button:

  9. The email snippet has been edited


Reorder Email Snippets

  1. Sign in to the system if you have not already

  2. Navigate to the User Menu, then select the Settings option:

  3. Click the Meetings tile:

  4. Click the Text Snippets tile:

  5. Navigate to the Email Snippets section:

  6. Click the Edit Order button:

  7. Click and hold the grid icon next to the email snippets you wish to move, then drag and drop them into the desired order:

  8. Click the Save Changes button:

  9. The email snippets have been reordered


Delete an Email Snippet

  1. Sign in to the system if you have not already

  2. Navigate to the User Menu, then select the Settings option:

  3. Click the Meetings tile:

  4. Click the Text Snippets tile:

  5. Navigate to the Email Snippets section:

  6. Click the Delete tool (red trash can icon) to the right of the email snippet you wish to delete:

  7. Click the Delete Email Snippet button on the Delete Email Snippet pop-up that appears to confirm the deletion:

  8. The email snippet has been deleted
