Add a Prerequisite Session to a Session

This article will show you how to add a Prerequisite Session to a session or Activity. If a prerequisite is added to a program, a participant must register for the prerequisite to enroll in the new session. Some use cases for prerequisites include:

  • Level-based classes (for example, participants must register for Dance Level 1 before enrolling in Level 2)

  • Classes that are limited to Members

  • Verification (for example, Insurance and residency)

Important Notes:

  • The prerequisite session must already exist in the Recreation Management.

  • Existing Memberships that are imported into the Recreation Management solution during implementation through the Membership Import cannot be used as valid prerequisites.

  • Prerequisites do not require that users pass a previous session before enrolling in the next session. If you require participants to pass a level before registering for the next one, please Utilize Account Flags.

Instructions

  1. Log in to Recreation Management

  2. Create both the prerequisite session and the session the prerequisite will be added to.

    • For example, create session Level 1 and session Level 2.

  3. Navigate to the Activities tab, then select Activities List from the drop down menu.Navigation menu for Recreation, highlighting Activities and Activity List.

  4. Expand an activity

  5. Locate the session that needs a prerequisite and click the edit pencil icon.

  6. Navigate to the Advanced tab Advanced tab settings for a session.

  7. Next to Prerequisite Sessions, click the Add Item button: Activity Session Advanced tab highlighting the Add Item button.

    Note:

    Prerequisites can also be added to activities by selecting add item when you create a new activity.

  8. Search for and select items to add as prerequisites: Prerequisite sessions search bar highlighted for selection.

  9. Configure the Prerequisite options: Settings for prerequisite behavior and sessions, including options for expired waivers.

    • Any Account Member: This will allow any individual account member within the entire account to register for a Session as long as one account is registered for the prerequisite

    • Block Registration: This will block registration for the attempted Activity if the prerequisites are not met. If this box is not checked, the Prerequisite Session will automatically be added to the cart

    • Allow Expired: This will allow an expired prerequisite to be used during registration (for example, if an Annual Membership expired on February 1st but registration occurs on February 5th, the Annual Membership will still be recognized as meeting the prerequisite)

  10. If multiple prerequisites need to be added, repeat steps 4 through 6.

  11. If adding multiple prerequisites, choose whether to Require All or Require One prerequisite. Dropdown menu showing options for prerequisite behavior in a registration form.

    • Require All: The customer needs to complete all of the session's prerequisites before they can attend the session.

    • Require One: The customer needs to complete 1 of the session's prerequisites before they can attend the session.

  12. Click the Save New Session button:

  13. On the Catalog, when your prerequisites are configured to Block Registration, if the participant has not enrolled in the prerequisite, they will receive an error and will be prevented from registering. Catalog activity showing account members with prerequisite errors.

  14. On the catalog, when your prerequisites are not configured to Block Registration if the participant has not enrolled in the prerequisite, they will not receive an error and can add the session to their cart. Catalog activity showing ineligible account members still available for selection.

    Notes:

    If there is only one option for a prerequisite, the prerequisite session will be automatically added to the customer's cart if they have not enrolled in it.
