Create a Public Adjustment/Cancellation Fee

This article shows you how to create a new Public Adjustment/Cancellation Fee for a facility in Recreation Management. If you’ve turned on Public Cancellations and/or Public Rental Adjustments, you can charge public users a fee. This fee applies when they adjust or cancel their reservations.

Instructions

  1. Log in to Recreation Management if you have not already

  2. Navigate to Facilities and select Facility List Recreation Management navigation menu with the Facilities and Facility List options highlighted.

  3. Click the plus-sign icon next to a Facility Name to expand a location A gray plus-sign icon icon next to the name of a facility within the Facility List that can be used to expand the details of a facility.

  4. Click Edit Location (black-and-white pencil icon) to modify a facility A black-and-white pencil icon in the far-right Tools column of the Facility List.

  5. Navigate to the Cancellation Fees tab A gray, rectangular Cancellation Fees tab.

  6. Click Create Public Adjustment/Cancellation Fee A green, rectangular Create Public Adjustment/Cancellation Fee button with a plus-sign icon.

  7. Fill in the Create Public Adjustment/Cancellation Fee fields Create Public Adjustment/Cancellation Fee fields.

    • Addon (required): Select the appropriate add-on from the drop-down list

      Note:

      Only Admin Fee type add-ons will be listed here.

    • Fee Type (required): Choose the transactions this fee applies to on the public side from the drop-down list

    • Fee Amount: Click the dollar sign or the percent sign, then enter a flat dollar amount ($) or percentage (%) in the field

    • Min Days / Max Days: Set up various fee structures based on when the cancellation is happening

      • Example: You can set different cancellation fees based on how far in advance the user cancels. For example, charge $5 if they cancel 60 to 90 days before the reservation. Charge $10 if they cancel between 59 days and 1 day before. To do this, create multiple cancellation fees. The system will apply the correct fee based on when the user cancels.

      Note:

      The Min and Max Days on your fee need to be within the Min/Max Days set on your Rental Options tab.

  8. Click Save New Public Adjustment/Cancellation Fee A gray, rectangular Save New Public Adjustment/Cancellation Fee button that allows to you save and add the public adjustment/cancellation fee to the Recreation Management system.

  9. Click Save Facility A green, rectangular Save Facility button that allows you to save and apply all changes to the selected facility.

  10. The new Public Adjustment/Cancellation Fee has been created
