Activate a Waiting List

An Activity Waiting List allows users to sign up for a waiting list when the first roster is full. This allows them to sign up if someone else drops the activity.

Once activated, users will see the Waiting List option if the maximum participation number has already been met for the session.

Important Notes:

  • There is no limit to how many names can be on a waiting list.

  • There is no automatic invitation to the user if there is a new spot available - staff will need to send an invitation.

  • Staff can see a user's waitlist position from their account.

  • Users can see their waitlist position on their receipt and from their public dashboard.

  • Once maximum participation is met, the waitlist automatically activates. Registration holds that exceed the maximum participation will also activate the waiting list.

  • By default, the waitlist option is enabled and set to Online and In-House.

  • When an individual needs to move from the waitlist to the roster, staff will need to enroll them from the waitlist. Once a waitlist is active, you can only enroll in the waitlist after that point. In other words, if the waitlist activates and some people un-enroll from the activity and take the number of participants below the max number, there is no effect. All subsequent registrations will go on the waitlist.

  • Waitlists are not available for the following Activity Types: Drop-In or Ticket.

  • If Daily Pricing or Weekly Pricing is enabled, waitlist options will not be available.

Instructions

  1. Navigate to Activities, then to Activity List activities, activity list

  2. Expand an Activity expand

  3. Select Edit Session (pencil icon) next to the desired session edit session

  4. Navigate to the Advanced tab advanced

  5. Expand the Waiting List drop-down and choose an option waiting list dropdown

    • No Waiting List: Will not allow waitlist sign-up

    • Online and In-House: Will allow online and in-person waitlist sign-ups

      • Include Post Registration: Click to allow customers to add themselves to the waitlist even after the class has already begun and registration has ended include post registration

    • In-House Only: Will allow in-person waitlist sign-ups only

    • Online Only: Will allow online sign-ups only

  6. Set the Max Participants for the session max participation

    Note:

    Once maximum participation is met, the waitlist automatically activates.

  7. Click Save Session at the bottom of the page save session
