The Waiting List feature allows users to sign up for a waiting list when a session roster is full. This allows them to be added to the session if someone else drops out. This article walks through how to set up and manage waiting lists for your activities.

When an activity session's roster is filled, a Waiting List is enabled in case a participant is unable to make it. This allows another participant the chance to join the session.

Important Note:

  • Waiting lists are not available for the following Activity Types: Drop-In or Ticket.

  • If Daily Pricing or Weekly Pricing is enabled, waitlist options will not be available.

  • Once a waiting list is active, you can only enroll in the waiting list after that point. If the waiting list activates and some people un-enroll from the activity and take the number of participants below the maximum number, there is no effect.

    • All subsequent registrations will go on the waiting list.

  • When someone has an item in their cart, it holds their spot while they complete the registration. If there are 10 spots in the class and 10 people have the item in their cart, a waiting list will begin automatically. The roster can appear to be partially full with an active waitlist in this instance. Staff will need to invite people off the waiting list to join the active roster.

  • Rec only shows waiting lists that are active and have an end date of less than 90 days. Anything beyond that will not appear in the User Profile-Waiting List Page.

Instructions

  1. Sign in to your CivicPlus Recreation Management solution.

  2. Choose a Location from the drop-down menu: In the Recreation Management software's administrator dashboard, the Location drop-down menu is used to select specific locations where activities may take place.

  3. Activate the Waiting List for a session: When a Waiting List is activated, staff are given the option to include Post-Registration by enabling the option's check box. Staff members can also set a maximum number of participants.

    • The Online and In-House choices include the option to enable Include Post-Registration.

      • In-House Only is only available during the current registration period.

      • Online Only is only available during the current registration period.

        Note:

        Once the specified maximum participation is met, the waiting list automatically activates. Registration holds that exceed the maximum participation will also activate the waiting list.

  4. Once activated, you can view the Waiting List: When a Waiting List is activated, a staff member can use the Waiting List tab to view and manage the Waiting List.

  5. When a spot opens up, you can Invite a Waitlist Participant to Join a Roster: If an oppening occurs in a session's roster, staff members can use the Send Invitation Now button next to a Waiting List member to send them an immediate invitation to the session.

    Note:

    There is no automatic invitation to the user if there is a new spot available; staff will need to manually send an invitation.

  6. Or, staff can choose to Enroll Participants from the Waiting List: If an opening occurs in a session's roster, staff can use the Enroll button next to a Waiting List member to add them to the roster.

  7. Public users can view and manage their waiting list status on their account: If a public user is viewing a session, they can use the Waiting List Status tab to view the current status of any account members on a waiting list.

  8. Waiting list status can also be managed on accounts by internal staff: Staff members can update or manage waiting list participants for accounts.
