Access Confidential Attachments

Attachments added to agenda items can be marked as Non-Confidential (visible to everyone) or Confidential (visible to select groups only). Confidential Attachments can be viewed in three ways: In the Admin Portal, through packet download, or as a board member. This article will show you how to access Confidential Attachments.

View Confidential Attachments in the Admin Portal

This section will outline the two ways to preview confidential attachments in the Admin Portal.

View a File from the Item Files Page as a Confidential Attachments Group Member

If an item has one or more confidential attachments, staff added to the Confidential Attachments groups associated with that attachment can download and view the file(s) from the Item Files page. This is also true of the item owner if the "Access All Attachments on My Items" permission is checked in their Meetings Security Profile.

Note:

The "Access all Attachments on My items" permission is turned off for standard/approver profiles by default.

View a File from the Agenda Attachments Page as an Agenda Manager

Agenda Managers can view confidential attachments from the Agenda Attachments page.

There is also an "Access All Agenda Attachments" permission within the Meetings Security Profile that can allow specific approvers to view confidential attachments.

View Confidential Attachments Through Packet Download

When creating an agenda packet, you can include confidential attachments by selecting one or more confidential attachment groups in the Include Confidential Attachments Available To: field.

Once the agenda packet containing the confidential attachments has been generated, users with permission to access the Agenda Files page can download and view the packet. This means it is necessary to create two files: one agenda packet, which contains the confidential attachments, and one that does not.

View Confidential Attachments As a Board Member

Board members can view confidential files within Confidential Attachment packets. These can be sent to them directly or published in the Board Portal for viewing and downloading.

The default viewing method in the Board Portal, in which you click on an item to go to its Item Details page, will always show Confidential Attachment files in the attachment list, regardless of whether the packet published to the Board Portal contains them. Item Details pages show a live list of attachments from the Admin Portal's Item Files page.

Note:

A lock icon will appear next to the file type for confidential attachments.
